Built for beds, not for keys

Inventory that thinks like a hostel

Every bed is a bookable unit. A 12-bed dorm sells as twelve inventory items, not as one lump. Private-in-dorm bookings — where a solo guest buys out the whole dorm for the night — are first-class transactions with dynamic pricing. Group holds for a school trip or a walking-tour party lock down a set of beds without breaking the dorm's normal availability logic.

Rate plans handle the hostel-specific fee logic — city tax per person, linen deposit, breakfast add-on, storage locker fee — as separate line items on the folio. Nothing hidden, nothing rolled up. The receptionist can explain every charge to the guest without opening a spreadsheet.

HostelWorld is a first-class two-way channel with per-bed sync, not a channel manager afterthought. Booking, Airbnb, Expedia and Agoda take the private-room half of the inventory. Group booking sites — like GroupAccommodation and MyGroupBooking — plug in through the API.

Door codes issued from the reservation, sent on WhatsApp 24 hours before arrival. Reception can go to bed at midnight.

Common questions from hostel operators

How does bed-level inventory work with HostelWorld? Two-way real-time sync at the bed level. Sell a bed on HostelWorld, it closes on Booking and Airbnb three seconds later. No nightly reconciliation.

Can we sell dorm beds and private rooms in the same building? Yes — hybrid inventory is a first-class concept. Some rooms are private-only (sold on Booking, Airbnb, Expedia), some are dorm-only (sold on HostelWorld, HostelBookers, direct), some are mixed with per-night behaviour.

What about city tax and other per-person fees? Every fee is a separate line item on the folio with its own VAT rate. Portuguese municipal tourism tax, Barcelona city tax, Berlin Übernachtungsteuer — all supported and reported separately.

How do we handle the party group cancellation risk? The Talkguest cancellation ladder supports staggered deposits — 25% at booking, 50% at 30 days, 25% at 7 days — with automatic charging. Group cancellations trigger a walk-forward notification to reception with the walk-options list.

Do we lose any features by moving off our current hostel PMS? The migration hub carries every field that matters — bed maps, dorm layouts, guest CRM, past reservations, cancellation policies. If there is a specific quirk of your current setup we cannot handle, we tell you on the day-1 call before you sign anything.
