Casa do Rio Hostels — four properties, one operations platform.

Guest Talk replaced three separate vendors at Casa do Rio Hostels, a four-property, 340-bed hostel network across Porto, Vila Nova de Gaia and Ovar. The consolidation returned 22 hours per week per property to the operations team and made HostelWorld inventory a two-way conversation for the first time.

Four hostels, 340 beds, one operations team of five

Casa do Rio Hostels started in 2016 with a 40-bed hostel above a café in Ribeira. By 2025 the network had grown to four properties: the original Ribeira location (48 beds), Casa do Rio Gaia (72 beds), Casa do Rio Boavista (96 beds) and Casa do Rio Ovar (124 beds). Beatriz Faria joined as Operations Manager in early 2024 with a mandate from the founders to make the group behave like one company instead of four separate hostels sharing a name.

Before Talkguest, each property had its own PMS instance from a mid-market vendor, a shared channel manager licensed at the group level, a separate housekeeping app that only two of the four properties actually used, and a Slack workspace that the operations team used to reconcile the three every morning. HostelWorld sync was one-way — inventory pushed out, but no bookings pulled in without a nightly CSV drop.

The challenge

Why the three-vendor stack could not scale to a fifth property

The immediate trigger was the network's plan to open a fifth hostel in Aveiro in Q4 2026. Beatriz did the maths on what a fifth PMS instance, a fifth housekeeping seat and a fifth reception laptop would cost, and how many more Slack channels the ops team would have to watch every morning. The answer was: too many, and the group was already past the point where one operations manager could carry the tooling in her head.

The deeper problem was HostelWorld. Hostels live and die by HostelWorld inventory pace, and the previous channel manager pushed rates and availability out but did not pull bookings in without a nightly job. Overbooking risk was live for eight hours every day — the receptionists worked around it by leaving a two-bed buffer on every dorm, which cost the network real money at 92% occupancy.

Housekeeping was the third pressure. Two of the four properties had adopted the previous housekeeping app; two had not. The two that had not were still running printed room lists, which meant that when reception marked a departure, housekeeping did not know until the supervisor did a physical round. Turnover time for a 6-bed dorm was 47 minutes on average — with a live app it should have been under thirty.

The solution

Migration in two waves, HostelWorld cutover in one weekend

The Talkguest onboarding team ran the migration in two waves. Wave one moved the two smaller sites (Ribeira and Gaia) over three weeks in late April 2025 — this was the "learning wave" and the on-site team spent two days at each property. Wave two moved Boavista and Ovar in a single fortnight in mid-May, benefitting from the templates and integrations built out during wave one.

The HostelWorld cutover was a Saturday. Talkguest was already the source of truth for Booking.com and Airbnb by that point; the HostelWorld two-way sync was activated Saturday morning, cross-checked at 12:00, 15:00 and 18:00 across all four properties. By Sunday evening the two-bed dorm buffers had been removed and the network went into the week with full inventory exposed for the first time in three years.

The mobile housekeeping app deployed in one afternoon per property. Housekeepers use it on their personal phones — a browser-based flow, no install, one QR code per property. Rooms move from dirty to ready with a tap; reception sees the change in real time on the tape chart; the supervisor sees a summary view with photo verification for the deep-clean rotation.

The results, in operational detail

Twenty-two hours a week per property — where they came from

Beatriz timed the operations team before migration and again ninety days after. The 22-hour weekly saving per property breaks down into three buckets. Reception recovered about eight hours per week from removing the HostelWorld nightly reconciliation, the Slack cross-checks and the manual dorm buffer maintenance. Housekeeping supervision recovered about nine hours per week per property once the printed room lists went away and the supervisor started working from the app's status view rather than physical rounds. Beatriz's own Monday morning reconciliation collapsed from three hours to twenty minutes across all four sites, freeing about five weekly hours that used to sit on her calendar.

The €1,340 monthly saving is a straight subtraction — three vendor invoices removed, one Talkguest invoice added. It does not count the two-bed dorm buffers that came back on to inventory, which are a revenue lift rather than a cost saving.

The two-way HostelWorld sync is the operational change the team talks about most. Cancellations from HostelWorld now flow into Talkguest within about ninety seconds; the same bed goes back on sale automatically, and if it is a shoulder-season Tuesday, that bed will resell before end of day.

What's next

The fifth hostel opens on Talkguest in November

The Aveiro property, 88 beds, opens in November 2026. Casa do Rio's operations team has already provisioned its Talkguest tenant, mapped its dorm layouts and connected its OTAs — the whole setup took Beatriz an afternoon because everything mirrors the existing four properties. When the doors open, the fifth hostel will inherit the templates, the pre-arrival flow, the housekeeping schedule and the reporting rollup on day one.
