The reservation is a programme

The Talkguest retreat package includes the room, the treatments, the meals, the classes and the transfers. Everything is on one reservation record. When a guest changes their arrival day, every dependent booking — treatment slots, private consultations — updates automatically or flags for review. When a guest adds a private yoga session mid-stay, the folio picks it up as a distinct line with the correct VAT.

Dietary preferences and health notes live on the guest profile as structured fields, not as free-text scattered across three systems. Any team member who touches the guest — reception, kitchen, treatment desk, class instructor — reads the same profile.

Pre-arrival intake forms are delivered on WhatsApp and email in the guest's chosen language. Health disclosure, dietary needs, treatment preferences and prior experience are collected 72 hours before arrival and flow straight into the guest profile with allergy fields marked for the kitchen.

Common questions from retreat operators

Can the platform handle staggered arrivals and departures within a retreat cohort? Yes — cohort membership is independent of arrival date. A five-night cohort can include guests who arrive one day early and one who leaves one day late; the shared timeline still holds.

How does the guest CRM handle health information? Health information is a restricted field class that only guest-facing roles can see. Reception cannot see the full intake; the treatment desk can; the kitchen sees only dietary flags. Access is audit-logged.

Can we sell retreat packages on our website? Yes — the Direct Booking Engine handles multi-night packages with treatment add-ons. Guests choose the package, pick treatment slots, and pay in one flow.

What about OTAs for retreats? Booking, Airbnb and Expedia sell the accommodation-only portion. Retreat-specific channels like BookRetreats and Retreat Guru plug in through the API — a couple of our customers use them as a discovery channel.

Can practitioners have their own login? Yes — practitioners get a limited role that shows only their treatments, their guests and their monthly payout report.
