PMS Core

The reception workflow rebuilt around a live tape chart — reservations, room assignment, split stays, group blocks, walk-ins, deposits and no-show handling in one screen.

The PMS Core is the daily home of the reception team. Every reservation lives on a single tape chart that redraws in real time as bookings arrive from every connected channel and from the direct booking engine. Rooms move with a drag; nights split across dates with a keyboard shortcut; group blocks appear as a single ribbon across the chart with the ability to swap individual rooms without breaking the reservation.

Walk-ins take about twelve seconds. The receptionist opens the reservation panel, types the guest surname, picks nights on the chart, and Talk with Guest reads the current rate from the active rate plan — including any yield rules that fire at low availability. Deposits are captured on the same screen through the property's payment service provider of choice; refunds route back automatically if the reservation is cancelled inside the property's policy.

No-show handling is opinionated. When a reservation crosses its cut-off time without a check-in, the system holds the reservation for a configurable buffer, then either releases the room back to availability or auto-charges a no-show fee against the stored card. Cancellation rules are configurable per rate plan, per channel and per date range, and every enforcement action is written to the reservation audit log with a human-readable reason.

Group reservations, split folios, extra beds, connecting rooms and out-of-order maintenance windows are all first-class objects on the tape chart — they are not add-ons and they do not need workarounds. Everything a receptionist does dozens of times a day is one gesture or two keystrokes away.

A dedicated arrival dashboard opens each morning: today's arrivals grouped by expected time, tonight's stayovers, expected departures, VIP flags from the guest profile, allergies flagged by any historic stay, and any pending balance the reception should collect. Every reservation is auditable — every price change, every room move, every note is stamped with the user and the exact time.

The PMS Core is available in Portuguese, English, Spanish, French and Italian out of the box; a receptionist in Porto can work in Portuguese while the group manager in Lisbon sees the same reservation in English on the same screen milliseconds later.
